1. Audit your time
To get back more time, you first need to know where it’s spent.
Where are you spending your time, both in and on your business?
And are the things you’re investing your time in actually helping you get to your goals? Or are they moving you farther away?
If you’re a CEO but you’re still managing the books, doing marketing, onboarding clients, that’s cool if it’s in your Zone of Genius.
But if you’re doing those things because you feel you HAVE to do them… you’re trading your time in a way that’s essentially keeping you stuck.
Spend a week logging how much time you spend on things. Grab a notepad or use an app, and timestamp everything you do.
2. Decide to delegate, outsource, continue, or stop
Once you have your raw data of everything that takes up your time each week, it’s time to make some decisions.
Are these activities that only you can complete?
Look at each task and decide whether to:
A: Delegate it to someone else in your organisation
B: Outsource to an agency or external provider
C: Keep doing yourself (because it’s the highest and best use of your time)
D: Stop doing altogether - cut out things that aren’t helping you achieve your goals
You’ll shave quite a few hours off your ‘to do’ list immediately. For everything else…
3. Create systems and processes
After you’ve completed the audit, now it’s time to create systems and processes so that someone in your organisation (or an external agency) can complete the task for you.
Now, don’t get stuck back into your time wasting ways here - you don’t have to create every system yourself! Instead, look for someone in your organisation you can teach your process for writing systems.
Show them exactly how you want it done. Create a master template so every system created from it follows the same principles.
Then, using the master template that you’ve trained this person to use, it’s now their job to create systems and processes for you, and to teach other staff members how to do it too.
From there, your team are empowered with the ability to create these important procedures for your business ongoing. The best part? You’ve only had to create ONE and teach it ONCE.
